Faculty Evaluation

Deadlines and information about faculty evaluation are included below. Faculty position descriptions (Word or fillable pdf) for the subsequent academic year should be completed and attached to the evaluation when it is due to the VPAA.

Format of the annual evaluation currently varies by department. Contact the department chairperson for more information and to obtain the appropriate template.

Note. When deadlines fall on a weekend, materials should be handed in on the following Monday.

Deadlines for Evaluation and Goals - Year 1 Probationary Faculty

  • January 3 - First-year faculty self-evaluation, goals, and updated CV due to chairperson
  • January 14 - Chairperson's evaluation of and goals for first-year faculty due from chairperson to faculty
  • January 24 - First-year faculty self-evaluation and goals, chairperson's evaluation, and updated CV due from chairpersons to VPAA Office

Deadlines for Evaluation and Goals - Year 2 Probationary Faculty

First second-year evaluation

  • October 8 - Second-year faculty self-evaluation, goals, and updated CV due to chairperson
  • October 22 - Chairperson's evaluation of and goals for second-year faculty due from chairperson to faculty
  • November 5 - Second-year faculty self-evaluation and goals, chairperson's evaluation, and updated CV due from chairpersons to VPAA Office

Second second-year evaluation

  • January 31 - Faculty self-evaluation, goals, and updated CV due to chairperson
  • March 6 - Chairperson's evaluation of and goals for faculty due from chairperson to faculty
  • March 13 - Faculty self-evaluation and goals, chairperson's evaluation, and updated CV due from chairpersons to VPAA Office

Deadlines for Evaluation and Goals - Year 3 Probationary Faculty

  • December 1 - Tenure-track faculty in their third year of appointment must notify their department chairperson or immediate supervisor that their portfolio is ready for review. The chairperson or supervisor will contact the VPAA’s office to gain electronic access to the portfolio. The department chairperson or immediate supervisor will review the portfolio and make recommendations to the faculty member regarding the contents/organization of it. The department chairperson or immediate supervisor will also submit a letter of support to the portfolio.
  • January 31 - Faculty self-evaluation, goals, and updated CV due to chairperson
  • February 1 - The VPAA’s office will change the candidate’s and department chairperson’s or immediate supervisor’s access to the portfolio from “edit” to “read” mode, making it ready for the Tenure Committee’s review. The materials in the portfolio must include all necessary materials and be organized in the same manner as described in Article V Section 3 of the Bylaws.
  • March 6 - Chairperson's initial evaluation of and goals for faculty due from chairperson to faculty
  • April 5 - The Tenure Committee completes pre-tenure review and concurrently distributes the results/finding to the faculty member and the chairperson or immediate supervisor of the department to which the faculty member is appointed.
  • April 5-17 - The pre-tenure review completed by Tenure Committee shall be addressed as part of the third-year faculty member's annual evaluation.  At a minimum, the faculty member, in consultation with the chairperson, will address any concerns or deficiencies identified by the pre-tenure review and document a strategy to ameliorate them. The completed evaluation, including a copy of the pre-tenure review form, will be forwarded to the Vice President for Academic Affairs.
  • April 17 - The pre-tenure review completed by the Tenure Committee shall be addressed as part of the third-year faculty member’s annual evaluation. At a minimum, the faculty
    member, in consultation with their department chair or immediate supervisor, will address any concerns or deficiencies identified by the pre-tenure review and document a strategy to ameliorate them. A copy of the pre-tenure review form will be included and attached to the third-year evaluation which will then be forwarded to the VPAA. The faculty member will need to begin populating their electronic tenure portfolio with materials necessary for submission in the sixth year.
  • April 17 - Third-year faculty self-evaluation and goals, chairperson's evaluation, and updated CV due from chairpersons to VPAA Office.

Deadlines for Evaluation and Goals - Years 4-6 Probationary Faculty 

  • January 31 - Faculty self-evaluation, goals, and updated CV due to chairperson
  • March 6 - Chairperson's evaluation of and goals for faculty due from chairperson to faculty
  • March 13 - Faculty self-evaluation and goals, chairperson's evaluation, and updated CV due from chairpersons to VPAA Office

Deadlines for Evaluation and Goals - Tenured Faculty 

  • January 31 - Faculty self-evaluation, goals, and updated CV due to chairperson
  • March 6 - Chairperson's evaluation of and goals for faculty due from chairperson to faculty
  • March 13 - Faculty self-evaluation and goals, chairperson's evaluation, and updated CV due from chairpersons to VPAA Office

  • January 31 - Faculty self-evaluation, goals, and updated CV due to chairperson
  • March 6 - Chairperson's evaluation of and goals for faculty due from chairperson to faculty
  • March 13 - Faculty self-evaluation and goals, chairperson's evaluation, and updated CV due from chairpersons to VPAA Office

Deadlines and Forms - Adjunct Faculty

  • Adjunct faculty evaluation procedures and form
  • A copy of the completed annual evaluation should be sent to Academic Affairs office and placed in the adjunct faculty member's personnel file.

Non-renewal, Termination, or Dismissal of Faculty

The ND State Board of Higher Education policy on the non-renewal, termination, or dismissal of faculty is outlined in SBHE Policy 605.3. Hearings, appeals, and mediation related to non-renewal, termination, or dismissal are outlined in SBHE Policies 605.4 and 605.5.
